Photography Services Policy.

This policy applies to photography services booked with Mazzanti Studio, including branding, wedding, couples, portrait, and event photography. It sets out how bookings work, what you can expect, and the terms that apply to your booking.

Booking & Securing Your Date

A photography date is not confirmed until a signed contract and booking fee have been received. Enquiries and consultations do not hold a date.

A non-refundable booking fee is required on signing your contract:

* Wedding photography: 25% of total fee
* Branding photography: 50% of total fee
* Couples photography: 50% of total fee
* Portrait photography: 50% of total fee
* Event photography: 50% of total fee
* Family photography: 50% of total fee

The booking fee secures your date exclusively for you. It is non-refundable because turning away other enquiries for that date is part of the commitment made on both sides.

Payment

The remaining balance is due as follows:

* Wedding photography: 4 weeks before the wedding date
* Couples photography: 1 week before the shoot date
* Portrait photography: 48 hours before the session
* Event photography: 2 weeks before the event date
* Branding photography: Prior to delivery of images (unless otherwise agreed in writing)
* Family photography: balance due on or before the session date

For branding photography, the shoot will proceed once the contract is signed and the booking fee received. The remaining balance is due before images are delivered. Images will not be released until full payment has been received.

Payment methods: Bank transfer is preferred. Card payment is also available via Stripe.

Cancellation

The booking fee is non-refundable in all circumstances.

Additional cancellation terms apply depending on the shoot type:

* Wedding photography: Cancellations within 8 weeks of the wedding date — full balance becomes due.
* Event photography: Cancellations within 4 weeks of the event date — full balance becomes due.
* Branding photography: Cancellations with less than 7 days' notice — full balance becomes due.
* Couples photography: Cancellations with less than 7 days' notice — full balance becomes due.
* Portrait photography: Cancellations with less than 7 days' notice — full session fee is non-refundable. Cancellations with more than 7 days' notice receive a 50% refund of the session fee.
* Family photography: Cancellations with more than 7 days' notice receive a 50% refund of any fees paid. Cancellations within 7 days of the session date are non-refundable.

Rescheduling

If you need to reschedule, please give as much notice as possible. Rescheduling is subject to availability and cannot be guaranteed. Rescheduling is not the same as cancellation and will be handled fairly where reasonable notice is given.

* Branding photography: Minimum 7 days' notice required.
* Couples photography: Minimum 7 days' notice required. One free reschedule permitted.
* Portrait photography: Minimum 5 days' notice required. One free reschedule permitted.
* Wedding photography: As much notice as possible — new date subject to availability.
* Event photography: As much notice as possible — new date subject to availability.

What You Will Receive

All images are delivered in high-resolution JPEG format via a private online gallery or file transfer.

* Branding photography: Minimum 20 professionally edited images, delivered within 3 weeks of the shoot date.
* Wedding photography: 300+ professionally edited images, delivered within 6 weeks of the wedding date.
* Couples photography: Minimum 50 professionally edited images, delivered within 3 weeks of the shoot date.
* Portrait photography: Minimum 30 professionally edited images, delivered within 2 weeks of the session date.
* Event photography: Minimum 100 edited images per day of coverage, delivered within 3 weeks of the event date.

Gallery Retention

Online galleries remain available for a minimum of 3 months from the date of delivery. Clients are responsible for downloading and backing up their images during this period. Mazzanti Studio may remove galleries after this period without notice and cannot guarantee long-term storage of client files.

Image Selection & RAW Files

RAW (unedited) files are not included in any delivery and will not be provided under any circumstances. The photographer selects which images are edited and delivered. Image selection is at the photographer's professional discretion and is part of the creative process. Requests to receive additional or unselected images will not be accepted.

Copyright & Usage Rights

All photographs remain the copyright of Mazzanti Studio, in accordance with the Copyright, Designs and Patents Act 1988. Commissioning photography does not transfer copyright ownership.

Personal use (wedding, couples, portrait photography): You receive a personal, non-transferable licence to download, print for personal use, and share with friends, family, and on personal social media.

Commercial use (branding photography): You receive a non-exclusive, perpetual, worldwide licence to use images for commercial purposes, including your website, social media, advertising, print, and marketing materials directly related to your business. This licence becomes active upon receipt of full payment.

All shoot types — the following remain prohibited:

* Reselling or sublicensing images to third parties
* Claiming the images as your own photographic work
* Using images for AI training or machine learning datasets
* Uploading images to stock image websites
* Removing copyright or ownership information
* Entering images into photography competitions
* Commercial use of personal-use images without separate written permission

Artistic Style & Editing

You acknowledge that you are familiar with Mazzanti Studio's portfolio and editing style before booking. All images are edited at the photographer's professional discretion, consistent with the portfolio. Requests for substantial re-editing may incur an additional fee.

On the Day

The photographer will make every reasonable effort to capture agreed key moments. We cannot guarantee every moment in circumstances where access is restricted, timings change, individuals are unavailable, or events beyond our control occur.

For wedding and event bookings, please ensure the photographer has access to all required venue areas at agreed times, and that relevant staff, coordinators, or security personnel have been informed of the photographer's presence.

The photographer cannot be held responsible for missed images where individuals are unavailable, decline to participate, arrive late, or fail to follow agreed timings.

For wedding bookings exceeding 5 consecutive hours of coverage, the photographer may take a reasonable meal and refreshment break. Where available, inclusion in any supplier meal arrangements is appreciated but not required. Every effort will be made to ensure that key moments are not missed during any break.

For portrait sessions, please arrive on time and ready to shoot. If you are more than 20 minutes late, the session time may be reduced accordingly.

Force Majeure

Neither party is in breach if failure to perform is caused by circumstances beyond reasonable control, including severe weather, natural disasters, illness or injury, equipment failure, utility failures, venue closure, transport disruptions, government restrictions, national emergencies, or civil disturbances. In the event the photographer is unable to fulfil a wedding booking, every effort will be made to arrange a suitable replacement photographer. If this is not possible, liability is limited to a full refund of all fees paid.

Data Protection

Personal information collected as part of a booking is held securely and used to deliver photography services and manage the client relationship. Data is handled in accordance with the UK GDPR and the Data Protection Act 2018. For full details, see the Privacy Policy.
